Terms of Use

The short version: Monby is a bookkeeping assistant, not a licensed accountant or tax advisor. It helps you organize and categorize expenses — but you are responsible for the accuracy of your own tax filings. Use it as a helpful tool, not as a replacement for professional advice when you need it.
1. Acceptance of terms
By signing up for Monby, sending messages to the Monby WhatsApp number, or using any Monby service, you agree to these Terms of Use. If you do not agree, please do not use Monby.
These terms form a legal agreement between you and Naima Akter, operating as Monby (Canada). We may update these terms as the product evolves — we'll notify you before significant changes take effect.
2. What Monby is
Monby is an AI-assisted bookkeeping tool that helps Canadian sole proprietors organize business expenses, categorize receipts for CRA purposes, and maintain a running expense log.
Important: Monby is not a licensed accounting firm, tax advisor, or financial planner. The information and categorizations Monby provides are general guidance only — they are not professional tax advice. You remain solely responsible for the accuracy of your tax filings and any decisions made based on information from Monby. For complex tax situations, consult a qualified CPA.
3. Eligibility
To use Monby, you must:
- Be at least 18 years of age
- Be operating a business or self-employed in Canada
- Provide accurate information during onboarding
- Have a valid WhatsApp account on the phone number you register
4. Beta service
Monby is currently in private beta. This means the service is still being developed and tested. During this period:
- Features may change, be added, or be removed without notice
- The service may experience downtime or interruptions
- In rare cases, data may need to be reset — we will notify you before this happens
- The service is provided free of charge during the beta period
5. Acceptable use
You agree to use Monby only for lawful purposes in connection with your legitimate business activities. You must not:
- Submit false, misleading, or fraudulent expense information
- Attempt to circumvent rate limits, access controls, or system restrictions
- Use Monby to process expenses for any person or business other than yourself without explicit permission
- Send harmful content, spam, or abusive messages through the Monby WhatsApp channel
- Attempt to reverse-engineer, copy, or replicate the Monby service
- Use Monby in any way that violates Canadian law or CRA regulations
6. Accuracy of information
Monby uses AI to extract and categorize expense data from receipts and invoices. While we work hard to make this accurate:
- AI extraction may occasionally produce errors, especially with low-quality images, handwritten receipts, or unusual formats
- CRA rules and rates change — Monby's guidance reflects general rules but may not always reflect the most current CRA position
- Expense categorizations are suggestions — you should review your Google Sheet periodically and correct any errors
You are responsible for reviewing your expense records before using them for tax purposes. Monby is a tool to help you stay organized, not a guarantee of accuracy.
7. CRA guidance disclaimer
When Monby answers tax questions or applies CRA rules, this constitutes general information only — not professional tax advice. Monby:
- Is not a registered tax preparer or CPA
- Does not have knowledge of your complete financial situation
- Cannot represent you before the CRA
- May not be aware of recent CRA rule changes or your province-specific rules
For complex tax questions, deductions you're uncertain about, or if you receive a CRA notice, please consult a qualified CPA or tax professional.
8. Your data and Google services
By using Monby, you authorize us to:
- Create and manage a Google Sheet in Monby's Google account on your behalf
- Create and manage a Google Drive folder in Monby's Google account on your behalf
- Share view and edit access to these files with you via shareable links
- Process your receipt images through third-party AI services to extract expense data
Your expense data and receipt images are accessible to you at all times through the links provided during onboarding. See our Privacy Policy for full details on how we handle your data.
9. Intellectual property
The Monby name, logo, website, and underlying software are owned by Naima Akter operating as Monby. You may not copy, reproduce, or use these without written permission.
Your expense data — the receipts you send and the records generated from them — belongs to you. We claim no ownership over your financial data.
10. Limitation of liability
To the fullest extent permitted by Canadian law, Monby and its operator shall not be liable for:
- Any errors in expense categorization or CRA guidance provided by the service
- Any tax penalties, interest, or assessments resulting from use of Monby
- Any loss of data due to technical failures or service interruptions
- Any indirect, incidental, or consequential damages arising from use of the service
Your use of Monby is at your own risk. The service is provided "as is" during the beta period, without warranty of any kind.
11. Termination
Either party may end the relationship at any time:
- You can stop using Monby at any time and request deletion of your data by emailing hellomonby@gmail.com
- We may suspend or terminate access if you violate these terms, abuse the service, or if we need to discontinue the beta — we will give reasonable notice where possible
Upon termination, your Google Sheet and Drive files will be unshared but remain accessible via the links you received. Your profile data will be deleted within 14 days of your request.
12. Governing law
These terms are governed by the laws of Ontario, Canada. Any disputes will be resolved under Ontario jurisdiction.
13. Changes to these terms
We may update these Terms of Use as Monby grows. For significant changes, we will notify you via WhatsApp or email at least 14 days before they take effect. Continued use of Monby after that date constitutes acceptance of the updated terms.
